No, the hotel could never accommodate us with a meeting space because they were booked solid
when we did the contract so they just charged us for rooms at a discounted group rate. We were
waiting for agenda, A/V requirements to see what kind of space we could configure. The best
option given the fact that there will be no outside, local guests/observers (as in the past) and only
15 people (including you) is to go with a suite.

Isabel and I have are part of the Academy Award screeners, which means
we get all the movies in advance, including before they hit
the theaters, and so, we wanted to have a special movie night
for the attendees Qeff doesn't need to attend) and so we can
screen some of the best of this upcoming year's movies,
which is cool and would be special for them.

Hi!
I am able to get a Presidential Suite and this would allow all of their meetings for
the 8", 9" and 10" and they could also have their night meetings.
If we were to rent furniture, which would be necessary to have the set up he is
requesting in a meeting room, it would probably cost about the
same.
We can add A/V, there is wireless included in the price of the suite, food and
beverage can be catered in the room for their breaks, etc.
The cost is $2,200 plus 8% tax per day.
I need an answer today in order to confirm.
What do you think?

Please call me ASAP. I don't know how I will pull that off, as the hotel does not
have the meeting space available.
The only thought that comes to mind is for a suite. I have them checking at the
hotel to see if they have a suite available. If so, they might have that
for all of their meetings. However, as of this moment, we are
checking to see if that is even an option.

Al,
Just let me know about AN needs and I will see what I can do about the
room set up re being comfortable and not a conference
room setting.
You will be on the island on the 10th from about 12 noon to 3 PM.
Meals are being arranged around the meeting schedule and Jeffrey is
going with the following format:
Saturday - 9 AM to 12 PM w/ one break 2:30 PM to 4:30 PM w/ one
break
Sunday - Same
Monday - 9 AM to 11:30 AM and then go to island at 12-3PM. Free
after that.

On the evening of the arrival, we will have a small reception, if you
would like with light bites. Snacks will be provided for the
breaks and your guests will join you for all meals.
There are things to do for the spouses like the beach, shopping in town,
island tours etc...

So, off the top of my head, and with no approval from Jeff...here are
some of my thoughts.
In basic, we would need a very casual setting, of comfortable chairs and
sofas, rather than a conference type sterile environment,
where people can just relax around a basic circle and
discuss and argue various ideas. I do believe that a white
board and projector for mac and pc are needed. basic
drinks, snacks...
I have no information on how people will arrive, what is happening to
the spouses/partners. Can't just "dump them," so some
things would be nice to be set up. What sort of other
relaxing activities will be there. What happens when people
arrive, that night, etc.
We wanted to arrange for one of the people to do a gourmet bbq and
talk about the science of cooking on one of the nights at
Jeffs island... (but that would have to be arranged)
need to know about meals (both for the attendees as well as their
guests). When they can join and when they can not.
If you want to call to discuss, I would be happy to arrange a time.
Perhaps, we can work somethings out on the above, and
then, Jeff doesn't have to think about it?
