We recently sent an email to upperclass JD and LLM students, reminding them of the course withdrawal and course requirement policies (a revised version will be sent to first-year JD students closer to the time of their first take-home exam). As a reminder:
• At this point, students can only withdraw from your class with the permission of an advisor (unless you teach a mini-course or bookend course that has not yet met). The process it outlined here: http://www.law.georgetown.edu/campus-services/registrar/course-registration/Course-Withdrawals.cfm. If your class was enrolled by professor-permission, they will also need your approval. Special rules also apply to practicum courses, clinics and externships.
• Also note that under the current policy, no withdrawals are permitted once work has been submitted for grading. This means if your first graded assignment (not including class participation) is due mid-semester, the due date of the assignment is the last day a student may withdraw from your class, absent exceptional circumstances (to be determined by the academic advisor approving the course withdrawal request). This is true regardless of whether or not they actually handed in the work. We encourage you to review this with your students before any graded assignments come due and direct them to the Student Handbook and/or the Office of the Registrar if they have any questions.
Any student who has not timely withdrawn from your class is expected to meet all course requirements. Failing to hand in a final paper by the due date (including any extension) or take an exam will result in them receiving an Administrative F (AF) in the course.

Dear Upperclass Students,
Now that Fall 2014 add/drop is over, we want to remind you of Georgetown Law’s policies regarding course withdrawals and completing course requirements (please see the Student Handbook, http://www.law.georgetown.edu/go/handbook).
• A request to drop a Fall 2014 course will now be treated as request to withdraw from the course. If approved, the withdrawal will be reflected as a ‘W’ on your transcript. The exception is for mini-courses or bookend courses which have not yet met, in which case a student may request (by emailing [email protected]) to be dropped from the course after the first class meeting but before the second class meeting.
• You cannot request to withdraw from a course after the last day of class for the course. Please see http://www.law.georgetown.edu/campus-services/registrar/course-registration/Course-Withdrawals.cfm for more information and to download the required course withdrawal form. Please note:
o The last day of class for a course may be different than the official last day of classes listed in the Academic Calendar (e.g., a mini-course may end several weeks before the official end of the semester).
o You need to meet with and obtain the signature of an advisor to withdraw from a course. Additional permissions are required for professor permission courses, as well as practicum courses and J.D. externships. Please make sure you obtain these permissions prior to meeting with an academic advisor. Clinics continue to have a separate withdrawal policy outlined in the Student Handbook.
o If you have already submitted work for grading, a withdrawal is only permitted in exceptional circumstances. As has always been our policy, relief will be provided in instances of personal or medical emergencies when approved by an advisor.
• There are consequences for failing to complete course requirements. If you have not been approved to withdraw from a course, you are expected to meet all course requirements. The following are the consequences for failing to timely do so, which are outlined in detail in the Student Handbook.
o Late take-home exam penalties:
Late return within 60 minutes. If you submit your take-home exam even one second late, you will be subject to severe penalties. First offenders will receive an Administrative Pass (AP) for the course if the course professor gives you a passing grade in the course. An AP is treated as a “pass” and you will receive credit in the course but the transcript legend will indicate that the student passed the course but failed to stop writing before the time allowed for the examination expired. If you fail the course, you will get an F. Second offenses under these same conditions will be investigated as a disciplinary offense which you may be required to report when you apply for admission to a bar.

If you download the exam but fail to submit your answers within 24 hours of the exam deadline, you will receive an Administrative F (AF) on the exam.

If you fail to timely sit for your exam (and were not approved for an exam deferral) or fail to download and submit a take-home exam or final paper, you will receive an AF for the course. An AF is treated as a “fail” and the transcript legend will indicate that you failed to take the exam or complete other course requirements. An AF will be calculated as an F in your cumulative GPA.
o Receipt of AF and AP grades may affect your eligibility for graduation honors.
• Relief from these penalties:
o Take-home exams. Any student subject to the AP penalty has the right to request that the penalty be waived. There are procedures in place to deal with uploading problems (see below) but the penalties will not be waived absent proof from the student that the student stopped writing before time expired.
o Extenuating circumstances. Students who miss an exam due to extenuating circumstances (illness or other emergency) may have their exam rescheduled subject to extemporaneous documentation. Students must respond to the Registrar within 24 hours after email notice is sent to request the right to take the exam. Students who fail to respond will receive an AF for the course, which will appear on the Law Center transcript and will be calculated as an F in GPA.
o Good-faith mistake (one-time relief). Students who miss an exam because of a “good-faith” mistake, like oversleeping, a car breaking down, or mistaking the time or day of the exam, have a one-time option of having their exam rescheduled with a one-step grade reduction (e.g., A to A-). Students must respond to the Registrar within 24 hours after email notice is sent to request the right to take the exam. Students who fail to respond (or who have already used this one-time option to reschedule) will receive an AF for the course, which will appear on the Law Center transcript and will be calculated as an F in GPA.
o Submitting the wrong document (one-time relief). If you mistakenly submit the wrong examination or paper or the wrong version, and a genuine and timely correct document can be retrieved, you will have the option to have the right paper graded but take a one-step grade reduction (e.g., A to A-), or elect to take a withdrawal in the course. This relief is available only once and the error must be identified before grades are posted. Future erroneous submissions will be graded as originally submitted
